Frequently Asked Questions

So how does it work?

After filling out the form above, you'll book a strategy call so we can learn what tasks you want delegated. This will help us match you with an EA from our pool of vetted candidates. In 14 days, your pre-trained EA will arrive with over 100 playbooks and proprietary AI-tools they'll use to handle the most common tasks (so there's no lengthy onboarding period). You brief them on your specific preferences and they get to work.

What tasks can they handle?

Inbox management, calendar coordination, expense tracking, report compilation, vendor communication, meeting prep, and much more. Our EAs handle a minimum of 50 high-impact tasks a month (i.e. all the stuff eating up your time that someone else should be doing).

How quickly will they get started?

Once you're ready to move forward, it takes about 14 days to get your EA (so you don't have to spend three months hiring and training someone yourself).

Where are the Executive Assistants located?

TalentPop has made our mark worldwide! While our Executive Assistants are spread out across the world, the majority reside in the Philippines or Jamaica. We have recently expanded our borders to include EA's from South Africa as well.

Regardless of their location, all of our EAs must pass our internal written, oral, and skills training. They must also pass two video interviews. Because our vetting process is so intense, only about 0.5% of applicants pass so we can provide you with the highest caliber of support.

How much does this cost?

Our EAs start at $14/hour for a full-time EA, or $16/hour for a part-time EA. Compared to a $6,000/mo full-time hire, you're paying a fraction of the price every month for an entire team that's pre-trained on Executive Assistant best practices.

Is there a setup fee?

Yes. There's a one-time $500 onboarding fee that covers the recruitment, vetting, and training of your EA before they start.

What's the minimum number of hours per week?

20 hours per week. That's the sweet spot with enough time for your EA to get fully integrated into your workflow and start making an impact. As your business grows, you can scale their hours up from there.

Do I need to sign a long-term contract?

We don't do any long-term contracts here at TalentPop! Everything we do is completely month-to-month, so you have the flexibility to scale your hours up or down based on your brand's needs.

Can they help with day-to-day life tasks?

Yes. Many of our EAs handle both professional and personal tasks. For day-to-day life, this includes scheduling appointments, managing travel plans, and booking dinner reservations. If it can be done remotely, your EA can most likely handle it.

What if I need them to do a specific task?

You're not limited to just the tasks we have playbooks for. If you have your own tasks/processes you're looking to hand off, simply let your EA know. They'll record the process of you conducting the task or process, document how it's done, so the next time it needs to get completed, they'll get it done for you without needing your assistance.

Is my Executive Assistant dedicated to me?

Yes. Your EA works exclusively for you, not split across multiple clients.

What if they don't understand my business?

Every agent we place goes through rigorous vetting, written assessments, skills simulations, and live video interviews, so they'll get a deep understanding of your brand before they ever start. And your Customer Success Manager is there from day one to make sure nothing falls through the cracks.

How much time will I spend managing them?

Almost none once you're up and running. Your EA arrives with skills and playbooks already built so they don't need constant direction. The goal is for them to take things off your plate, not add to it.

What if they're not a good fit?

If you're not happy with the match at any point, we'll find you a replacement within five business days at no additional cost.

Who else have you worked with?

Over the past 5 years TalentPop has worked with 800+ brands including Liquid I.V., Beyond Meat, CorePower Yoga, True Classic, Simplehuman, and Hint Water. We've made lasting impacts on some of the fastest growing household names, and we apply the same level of rigorous training to our Executive Assistants that all our agents receive.

What if I already have a VA?

A virtual assistant executes tasks that you hand them (and you have to train them). TalentPop's Executive Assistants manage priorities, anticipate needs, and operate independently. Most clients who already have a VA hire an EA to handle the higher-level coordination their VA simply isn't trained on.

What's the difference between TalentPop and other VA services?

Most VA services match you with someone and leave you to figure out the rest. TalentPop EAs arrive with playbooks already built, proprietary AI tools, team support behind them, and a structured placement process. You are not just getting a person. You are getting a proven, dedicated system.

Can't I just delegate this to a team member?

You could, but you'd be pulling someone off the work you hired them for to handle tasks that aren't in their job description. An EA handles the coordination layer so your team can stay focused on higher-leverage projects.

What if handing off tasks takes more time than doing it myself?

This is possible early on. But you're not onboarding someone, you're exposing them to your ecosystem. Once they learn how you think, not just how you do things, delegation gets faster every week. We also build custom SOPs for your role as you go, so the "explain it every time" problem gets eliminated over time.

What if my tasks are non-repetitive?

We recruit with your specific business needs in mind. So your EA won't just learn the tasks you need done, but learn your decision-making patterns. Once they understand how you think, the non-repetitive stuff becomes the easiest thing to delegate.

Do you have a guarantee?

Yes. If you're not 100% happy with your EA, then we aren't either. Let us know if it isn't working and we'll provide you a full refund the same day, no questions asked.
